Purpose

The ARA is a crucial role at CEEW to provide administrative support to research team leads and members. ARA ensure that the researchers and senior management get to spend minimal time on administrative matters and maximum time on their key job responsibilities.

Job Duties and Accountabilities

Scheduling and Engagements

  • Scheduling appointments and managing calendar for team leads—including inviting and confirming participants, and facility arrangements where required.
  • Preparing meeting notes and agendas, taking minutes and preparing drafts for review.
  • Drafting acknowledgment and thank you letters, correspondence, etc.
  • Helping the team leads and other research team members in formatting speeches and presentations.

 

Travel

 

  • Managing travel arrangements for team members and proactively coordinating planning of trips with appropriate filing, including arranging travel, visas, hotels, transportation, meeting agendas, etc. This will require significant ability to use technology to improve time and resource efficiency.
  • Coordinating processing of passport renewals, visas and related travel documents.
  • Preparing travel folders and related meeting materials.
  • Assisting team leads with invoicing, settling expense claims. The use of technology will be critical to deliver on this task.
  • Prepare expense reports for team leads in adherence with internal policies and deadlines.

Database and Record Keeping

  • Building and maintaining comprehensive database(s) of CEEW stakeholders and other resources, such as: research partners, donors, sectoral/thematic experts, vendors, general contacts, service providers, survey agencies, count of publications/events, etc. This would include regular scanning and management of business cards as well.
  • Frequent maintenance and updating databases and associated recordkeeping.
  • Keeping end-to-end record of all the activities—be it for travel, inventory management for publications, contacts management, supporting recruitment tracker, etc.

Outreach and Operations

  • Managing registration at CEEW events.
  • Making professional follow-up calls to invitees in the run up to CEEW events.
  • The ARA will from time to time provide support the Operations Team as required and if permitted by team leads, depending upon the work load

Continuous Improvement

  • It is greatly desired that the ARA would bring in fresh perspectives and approaches to the way we manage administrative tasks, would constantly find areas of improvement, would try out new tools and approaches, would strive for resource and time efficiency, and would challenge status-quo for constant improvement.

In addition to above, the individual should be prepared, as and when necessary, to take on additional responsibilities, and respond to events and developments that cannot be anticipated easily.

Selection Criteria

Education and Experience

  • Minimum graduate degree in any discipline.
  • Freshers, who may not be entirely clear about what next, and would like to experience and add value to a fast-paced social impact organisation, and want to work with high-calibre and driven individuals, are encouraged to apply.

Key skills

  • Proficient skills in Microsoft Office applications, G-Suite and ERPs.
  • Experience in record keeping and database management
  • Strong oral and written communication skills.
  • Experience in drafting professional emails, letters, etc.
  • Strong planning and organising skills. Basic project management skills.
