Designation offered Executive Assistant

Reporting to CEO

Location New Delhi, India

Purpose

CEEW seeks to hire an Executive Assistant to directly support the CEO. CEEW offers an intellectually challenging and conducive work environment, with a focus on research rigour, innovative thinking, and strategic outreach. We are looking for an experienced, articulate “go-getter” who is detail-oriented and knows how to effectively engage with the highest level of stakeholders. The successful applicant will be instrumental in managing the CEO’s professional life and commitments as well as personal calendar – in keeping with the institution’s overall vision and priorities. S/he must be ambitious to excel in all aspects of the role and strive to become a leader in his or her own right over time.

Job Duties and Accountabilities

The successful candidate is expected to assist the CEO with the following:

  • Track political, business and technology-related developments on energy, industry, the environment and developmental pathways of India in the context of national priorities, international governance, trade, finance and socioeconomic growth
  • Be part of the CEO’s engagements with the highest level of governments, industry, multilateral organisations, media and other stakeholders
  • Prepare high-quality briefing notes and minutes of meetings for the CEO’s engagements, conduct require pre- and post-engagement follow-ups, and build and nurture cordial, mutually rewarding relationships with the CEOs counterparts within the national and international governments, dignitaries, media and industry echelon
  • Write short policy-oriented memos based on CEEW’s research and preparing talking points for the CEO and other dignitaries, in consultation with the sectoral teams
  • Be the CEO’s single point of contact (SPOC) for coordination across internal teams and external parties, and communicate from a place of thorough research, understanding of the context, and professional poise
  • Manage small- to medium-sized projects and taskforces and participate constructively in team meetings
  • Manage Google-based email, calendar and notes systems for the CEO, including the use of hashtags and intelligent content management
  • Manage logistics arrangements per checklists with the Admin/IT teams, and be adept at balancing the CEO’s time, energy and commitments
  • Assist with planning and executing events such as consultation workshops and roundtables initiated by the Foresight Team (usually government activities), including emailing attendees and following up
  • Manage an archival system for articles and reports written and events attended by the CEO
  • Elevate the efficiency and quality of the functioning of the CEO’s office to world class standards

Shortlisting Criteria

Education

  • Bachelor’s or Master’s degree with specialisation in economics, management or environment

Business experience

  • 10 years or more of relevant work experience
  • Experience in dealing with government and public and private institutions within and outside India is desirable

Main skills

  • Ability to add value in conversations, meetings and interactions
  • Be able to look “over the horizon” and anticipate challenges
  • Extremely confident and poised individual; communication skills par excellence
  • “Fire in the belly” attitude and career ambition to take on larger leadership roles
  • Proven track record of handling CEO relationships at the highest level
  • Strong project management and prioritisation skills
